Chat for a small Shopify store: what to automate and what to keep human

Automate the questions with known answers

These have one right answer that lives in your store data or your policies:

  • Order status and tracking, after an identity check.
  • Shipping times, costs and free-shipping thresholds.
  • Return and exchange policy.
  • Price and stock (“is the black one in stock?”), read live from the store, never from memory.
  • Store hours, contact details, sizing guides and care instructions.

Keep people on the questions that need judgement

Anything where the right answer depends on the situation should reach you:

  • Damaged, wrong or missing items.
  • Refunds or exceptions outside your policy.
  • Upset customers, complaints and chargeback threats.
  • Wholesale, partnership and press enquiries.

  • It answers only from your data and the policies you've approved. It never improvises a price, a date or a promise.
  • It says “I don't know — let me get someone” instead of guessing.
  • It tells customers it's an AI.
  • It checks identity before sharing anything about an order.
  • Every conversation is logged, so you can see exactly what it said.

Questions to ask before you pick a tool

Chat tools range from a shared inbox to full helpdesks to AI agents. Before you choose, ask:

  • Does it read live price and stock, or answer from a copy that goes stale?
  • How does it verify a customer before discussing an order?
  • What happens when it can't answer: a guess, or a handoff to you?
  • How is it priced: per seat, per conversation or per resolution? What does a busy month cost?
  • Can you see and correct what it's learned?

Start small, then widen

Turn automation on for order status and your policies first. Once a week, look at what it couldn't answer; each one is a gap to fill, and the list shrinks fast. Widen what it handles as it earns your trust.
